Organizing Your Collection
How NeoCollect organizes your items in a hierarchy of collections, and the tools we provide for managing that hierarchy. As you saw in the Overview
video, NeoCollect helps you manage and showcase your collections, connect
with other serious collectors and share your expertise. The videos on Entering Collection
Information and Describing an Item explained the template
for entering information about a particular item, and provided a few
ideas to consider when describing an item. This video explains how the
collections and items that you enter into NeoCollect are organized,
and helps you move them around so they are easy for you to locate, enjoy
and share. In the physical world, your
collection is organized in some way that allows you to find things quickly
and study closely related items that are all kept together nearby.
You may have a very formal system in which items are organized in boxes
by catalogue number, date or place of origin, or for larger decorative
items, it may be rooms of your home or shelves in a particular room
where similar items from your collection are grouped together. NeoCollect allows you to mirror
this physical organizing scheme or create whatever other framework is
most useful for you. Even before you entered your
first item, NeoCollect prompted you to set up a collection with a name
and brief description and gave you the opportunity to mark the collection
private or public. These privacy settings are discussed separately
in the Privacy and Sharing video. You probably noticed that you
can create sub-collections within your overall collection, for example
for different type of medals within your overall medal collection. You began by entering items
into whichever of these collections made sense, and recall that you
can include a single item in more than one collection if, for example
a Tiffany medal is also a School Award medal. As you enter items into each
of your NeoCollect collections, they are organized into a tree hierarchy
representing your entire collection, similar to the way that files are
organized on your computer. Click the Organize Collections link
that is displayed near the top of every collection page and click on
the + sign next to your collection or sub-collection to expand the display
and show the lists of individual items within each sub-collection. You can move collections around
in NeoCollect by left clicking your mouse on an item, holding down the
button, dragging the item listing to another position and then dropping
the item there by releasing the button. For individual items within
a collection that need to be reordered by just one or two spaces, it
may be more convenient to use the small green arrows that you see to
the left of each item when you are in one of your collections.
Just click on the green arrows to move an item up or down the list one
position at a time. Moving an item that’s contained in more
than one collection repositions it in only that one collection.
The item remains in same position in the other collections until you
decide to move it in them as well. This NeoCollect pilot website
is currently set up for medals only, but we will soon be adding templates
for tokens, ancient coins, and eventually for a broad spectrum of fine
art, antiques and other valuable collectibles. Please watch the other videos
